How do I delete review invitations data? (for companies)

If your company uses Trustpilot's invitation services to send out review invitations, you can ask us to delete review invitations data about your customers.

For how long do we keep review invitations data?

If you send out review invitations using Trustpilot, then we process review invitations data on your company’s behalf. In accordance with the GDPR, we act as a data processor. We store data for the following periods:

  • We automatically delete all BCC emails after 30 days.
  • We automatically delete all review invitations data after 3 years.

However, we can delete review invitations data sooner if you ask us to (see below).

We need instructions directly from your company to delete review invitations data because your company acts as the data controller for this information, and we act as the data processor in accordance with the GDPR (see our infographic here for more information).

How can I make a request to delete data?

If you want to delete review invitations data, email us at privacy@trustpilot.com with the relevant details (see below). Our Privacy Team will handle the request and send a reply when the data has been deleted.

Please specify whether you want to delete review invitations data about a particular person, or data for all of your customers up to a particular date.

To delete all data about a particular person

You can use this option if your company receives a request from an individual to delete all review invitations data about that person. For example, if your company uses Trustpilot's services to invite your customer John Smith to write reviews, and John Smith asks you to delete all of his personal data connected to review invitations, then you can direct us to do so.

To make the request, email us at privacy@trustpilot.com with the subject header Delete review invitations data and tell us:

  • Your business name and domain
  • Your name and title at your company
  • The email address of the customer to be deleted - e.g. johnsmith@email.com

We ask that requests to delete review invitations data come directly from your company because we need to be sure that we're receiving our instructions from the data controller.

To delete all review invitations data prior to a particular date

To make a request to delete invitations information prior to a specific date, email privacy@trustpilot.com with the subject header Delete review invitations data and let us know:

  • Your business name and domain so we know which company the request is coming from
  • Your name and title at your company
  • Up to what date the information needs to be deleted

We ask you to send requests to delete review invitations data directly from your company because we need to be sure that we're receiving our instructions from the data controller.

How will deleting the review invitations data affect reviews of my company?

Once your company’s review invitations data are deleted, links in any of the review invitation emails that have already been sent to your customers will be disabled. This means that if customers have not already left a review, they will no longer be able to click on and use the links in these review invitations.

However, where customers have already reviewed your company, your request to delete review invitations data will not affect those reviews. Reviews already posted on Trustpilot can only be deleted by the reviewers themselves (or removed by Trustpilot if there’s a violation of our guidelines).
