There are several ways you can manually invite customers to review your company. It's the fastest way to get reviews and start getting helpful feedback.

It’s a great way to get started with Trustpilot and it's simple to use. Let's find out how to set up your invitations.

Upload a file

If you want to invite past customers to review your company, it's a good idea to choose this invitation method. You can create a CSV file that contains your customers' information, then import it to Trustpilot.

  1. In Trustpilot Business, under Get reviews, select Invite Customers.
  2. Under Invite manually, select Upload a file with customer email, name, and reference number.
  3. Select the Select file button, and choose a file from your computer. Select the Open button to close the dialog, then select the Continue button to submit your data. Tip: Make sure that your file is formatted as a .csv or.txtfile. Both format types use commas or semicolons to separate items.
  4. Check your customer data to make sure it's correct, then select the Continue button.
  5. In the Sender name field, enter your sender information. Select the Reply-to email from the drop-down menu and select the Continue button.
  6. Under Select template, select the Select template button. In the dialog, under Optimized templates, select the template you want for your language and experience, then select the Continue button. You can also create your own invitation email if you have a Pro or Enterprise plan.
  7. At the bottom of the page, in the drop-down menu, select the local Trustpilot website that you want to send your customers to when they write their review and select the Next button.
  8. Review your data and, if you're satisfied, select the Send Invitations button.

Rules and pointers on how to format your file

  • No blank rows in the document
  • Maximum file size 50 MB, and no more than 20,000 rows
  • UTF-8 encoding only
  • Delimiter (how you separate the fields) must be either a comma or semicolon
  • The reference number field should not contain special characters like # or *. If you need to use special characters, use / or - instead.

Note: The reference number can be any sort of unique identifier code that you use internally, for example, an invoice number or order ID. Reference numbers should be transaction-specific rather than customer-specific, to make sure that recurring customers get different order IDs each time.

Copy and paste from a document

If you only want to invite a few customers, you can copy and paste their data from a spreadsheet or a document into Trustpilot.

Note: You can only paste 300 lines of text when you use this method.

  1. In Trustpilot Business, under Get reviews, select Invite Customers.
  2. Under Invite manually, select Copy-paste data from spreadsheet.
  3. Copy and paste your customers' data from your spreadsheet or text editor to the text box. You can copy up to 300 customers at a time. Separate the data by tabs, semicolons (;) or commas (,).
  4. Check the order of the columns. They must be in this order: (1) email, (2) name, (3) reference number. All set? Select the Continue button.
  5. In the Sender name field, enter your sender information. Select the Reply-to email address from the drop-down menu, then select the Continue button.
  6. Under Select template, select the Select template button. In the dialog, under Optimized templates, select the template you want for your language and experience, then select the Continue button. You can also create your own invitation email if you have a Pro or Enterprise plan.
  7. At the bottom of the page, in the drop-down menu, select the local Trustpilot website that you want to send your customers to when they write their review. Select the Next button.
  8. Review your data and, if you're satisfied, select the Send Invitations button.

Note: The reference number field should not contain special characters like # or *. If you need to use special characters, use / or - instead.

Enter manually

If you only need to invite a small number of customers, enter your customers' information manually.

Note: Be aware that there's a huge margin for error when you enter customer information by hand. Consider entering your customers' information in a CSV file and uploading it instead of entering it manually.

  1. In Trustpilot Business, under Get reviews, select Invite Customers.
  2. Under Invite manually, select Enter customer data manually.
  3. Enter the customer's Email, Name, and Reference number in the appropriate fields, then select the Add button. Repeat this for each customer you want to invite. When your customer data is ready, select the Continue button.
  4. In the Sender name field, enter your sender information. Select the Reply-to email address from the drop-down menu and select the Continue button.
  5. Under Select template, select the Select template button. In the dialog, under Optimized templates, select the template you want for your language and experience, then select the Continue button. You can also create your own invitation email if you have a Pro or Enterprise plan.
  6. At the bottom of the page, in the drop-down menu, select the local Trustpilot website that you want to send your customers to when they write their review and select the Next button.
  7. Review your data and, if you're satisfied, select the Send Invitations button.

Product Reviews

Choose manual product review invitations if you want to invite customers to leave product reviews, but haven't set up an automatic invitation method.

  1. In Trustpilot Business, under Get reviews, select Invite Customers.
  2. Under Invite manually, select Get product reviews manually.
  3. Click on Select file and upload your CSV file. The columns in the CSV file must include the following data in this order: customer email, customer name, reference number (and, if relevant, the SKU, product name, product URL and image URL). Select the Continue button. Tip: If you were not able to organize your CSV file in the specified order, there’s a quick fix. Add a column header to tell our system which data you’ve placed in what column. You’ll need to write these exact header names in English: customer email, customer name, reference number, SKU, product name, product URL, image URL.
  4. In the Sender name field, enter your sender information. Select the Reply-to email address from the drop-down menu and select the Continue button.
  5. Under Select template, select the Select template button. In the dialog, under Optimized templates, select the template you want for your language and experience, then select the Continue button. You can also create your own invitation email if you have a Pro or Enterprise plan.
  6. At the bottom of the page, in the drop-down menu, select the local Trustpilot website that you want to send your customers to when they write their review and click Next.
  7. Review your data and, if you're satisfied, select the Send Invitations button.
