Invite your customers with manual review invitations

Inviting your past customers through the Invite Customers module is the fastest way to get reviews.

It’s a great way to get started with Trustpilot and really easy to use! We explain how to set it up here.

There are four basic ways to manually invite your customers:

1. Upload a file:

  1. In the Invitations Module, select the Invite Customers tab.
  2. Click on Select file and choose a file from your computer (when uploading a file, make sure it’s formatted either as .csv or.txt. Both format types use commas or semicolons to separate items).
  3. Approve your file by clicking Continue.
  4. Check that your customer data is correct, then click Continue.
  5. Add your sender information and Continue.
  6. In the Template Editor, you can select our optimized template or create your own invitation email.
  7. At the bottom of the page, select which Trustpilot website (country) you wish to send your customers to when writing their review and click Next.
  8. Review the details and click Send Invitations.
  9. Select Invitation History and check the status of your invitations.

Rules and pointers on how to format your file:

  • No blank rows in the document.
  • Maximum file size 50 MB, and no more than 20,000 rows.
  • UTF-8 text format only.
  • Delimiter must be either a comma or semicolon.
  • The reference number field should not contain special characters like # or *. If you want to use special characters as a separator, use / or - instead. 

Note: The reference number can be any sort of unique identifier code that you use internally (for example: invoice number, order ID). If possible, reference numbers should be transaction-specific rather than customer-specific.

2. Copy paste from a document:

  1. In the Invitations module, select the Invite Customers tab.
  2. Click Copy Paste.
  3. Copy and paste your customer's data from your spreadsheet or text editor. You can copy up to 300 customers at a time. The data must be separated by tabs, semicolons (;) or commas (,).
  4. Check the order of the columns. They must be: (1) email, (2) name, (3) reference number.
  5. When the data is ready, click Continue.
  6. Add extra invites manually if needed and click Continue.
  7. Set up your sender information and Continue.
  8. In the Template Editor, you can select our optimized template or create your own invitation email.
  9. At the bottom of the page, select which Trustpilot website (country) you wish to send your customers to when writing their review and click Next.
  10. Review the details and click Send Invitations.
  11. Select Invitations history and check the status of your invitations.

Note: The reference number field should not contain special characters like # or *. If you want to use special characters as a separator, use / or - instead. 

3. Enter manually:

  1. In the module Invitations, select the Invite Customers tab.
  2. Click Enter manually.
  3. Type in the relevant customer information: email address, name and reference number.
  4. Click Add and do this for each customer you want to invite.
  5. When your customer data is ready, click Continue.
  6. Set up your sender information and Continue.
  7. In the Template Editor, you can select our optimized template or create your own invitation email.
  8. At the bottom of the page, select which Trustpilot website (country) you wish to send your customers to when writing their review and click Next.
  9. Review the details and click Send Invitations.
  10. Select Invitations history and check the status of your invitations.

4. Service and Product Reviews:

  1. In the module Invitations, select the Invite customers tab.
  2. Click Product Reviews.
  3. Click on Select file and upload your CSV file. (The columns in the CSV file should contain: customer email, customer name, reference number, SKU, product name, product URL and image URL (optional).) Click Continue.
  4. Set up your sender information, and click Continue.
  5. In the Template Editor, you can select our optimized template or create your own invitation email.
  6. At the bottom of the page, select which Trustpilot website (country) you wish to send your customers to when writing their review and click Next.
  7. Review the details and click Send Invitations.
  8. Select Invitations history and check the status of your invitations.
